Meeting and Event Planning Guide

The Campus Center serves as the community center for Fitchburg State students, faculty, staff, alumni and conference guests. There are a variety of meeting rooms and event spaces for student organizations, departmental meetings or functions, and community sponsored events. Some rooms have flexible meetings setup, while others have a permanent conference setup. The Campus Center employs students to arrange all rooms for events and meeting, including the setup of media equipment used.

Reservation Process

The Campus Center Office is responsible for scheduling the student rooms in the Hammond Building (B17, B18, B19, B22). Capital Planning Event Management is responsible for the remainder of the rooms in the building and across campus. The Campus Center is also responsible for assisting with scheduling for student clubs and organizations. The reservationist will assist you in planning everything from a simple meeting to a conference. In order to assure that your event will be a success, we suggest that you call for a reservation at least 10 business days in advance. The availability of facilities and services may be limited for events scheduled with less lead-time. Will your event involve coordinating such things as media equipment, food service, extended hours, an extensive setup or additional staff? We can help you arrange it all with enough lead-time. Major Events

A major event is any program that is open to the entire college and/or is expected to draw a large audience. Call the Event Management office to reserve facilities for your major events as far in advance as possible. Event Management will assist you in choosing a date and the facilities that will suit your needs.

Media Equipment

We can honor most media request for meetings and events planned for the Campus Center. Please make all of your inquiries and request for media equipment when you are reserving your space. With 10 business days notice, a student media technician can be scheduled to assist you. Equipment available includes: overhead projectors, slide projectors, LCD projectors, 16mm projectors, DVD, microphones, sound system, TV/VCR carts, and media carts.

Meeting Rooms

Meetings in the Campus Center can be scheduled to begin as early as 8:00 and end as late as 10 pm on weekdays (Monday-Thursday). There are a variety of meeting rooms with several setup options in the Campus Center. The three Alumni rooms, conveniently located off G-Lobby on the ground floor, are separated by dividers. Alumni A, B, and C can be used as one large rooms. Other meeting rooms have permanent setups: G-07(located off G-Lobby).

Some rooms have conference cabinets (C) containing a dry erase whiteboard, and overhead projection screen. Some rooms are equipped for satellite teleconferencing (T). In addition to the setup types above, some rooms can accommodate a head table with chairs and/or buffet tables. Please use the chart below to determine which room is right for your meeting.

Hammond Main Lounge
The lounge is located on the main level, adjacent to the library. It may be reserved for lectures, receptions, and other special events.

G-Lobby
This large open area is adjacent to the Alumni rooms on the ground level. Table space is available for event registration, vendor fairs, and coffee service. Table space should be reserved at the same time you reserve the Alumni rooms or Ellis White Lecture Hall.

Ellis White Lecture Hall (T)
The lecture hall seats 129 and is located on the ground level of the Campus Center adjacent to G-Lobby. It is equipped with an in-house sound and video system. It can accommodate lectures, slide and power-point presentations, 16mm film and video/DVD projection.

Underground Pub (T)
The Underground Pub may be used for performances, dances, and other social events. It has a standard table setup for 80 people, but will accommodate up to 180 for a social event. The Underground Pub has a large screen TV, TV monitors, portable stage and stage lighting that may be requested at the time of your reservation. Bar services are available for some functions, subject to state and local laws as well as college policy. Food service requires the presence of catering staff.

Student Clubs and Organizations

The Campus Center is responsible for scheduling events for student clubs and organizations on campus and we will assist you in choosing an appropriate location for your event. How a Student from a Club/Organization Scedules a Room

Classrooms are available in most of the academic buildings and can be reserved during non-class times for meetings and conferences as well.

Dining Services

Chartwells Food Service is the contracted dining service for the college. All food service on campus is provided by Chartwells. They can provide anything from service to an elaborate dinner. After you book your reservation in the Campus Center, you will need to contact Chartwells directly to request food service.

Campus Police

A Campus Police officer may be required for your event to assist with safety, security or parking. Additional charges may apply.

Fire Codes and Accessibility

Our meeting rooms, lobbies, lecture halls, and Underground Pub setups are designed to conform to state fire code regulations and ADA standards. The Hammond Campus Center is wheelchair accessible. Please let Event Management know if your event participants have special needs.

Extended Building Hours

Hours may be extended with sufficient notice. Additional charges for services and personnel may apply.
