Print Services: Flow Chart for Publications

Presenting a strong visual identity is a critical part of our efforts to promote the college, recruit students and display a high level of excellence. It is particularly important today, since we produce more materials--brochures, posters, letters, advertisements, business cards, stationary, signs--than ever before.

In order to maintain this identity, the Office of Public Relations and Print Services will be helping offices edit and design publications intended to be seen by those outside of the college community, as well as publications that may present a first impression to students and employees. Publications that fall under these guidelines should follow college text, logo and design requirements. These departments are also available to assist with most any other publication a department may need. Together we can present a sense of unity and coherence in publications that represent Fitchburg State College.

Questions regarding whether a particular project or publication falls under these guidelines may be directed to Public Relations or Print Services. Every attempt will be made to meet the needs of the department taking into account timeline and budget.

To start your publication project, first consult the timeline enclosed with this message and follow the flow chart below. The timeline and a publications flow chart are also available on the Public Relations and the Print Services Web sites.

Step 1: Call Print Services at extension 3394 and inform them of the type of publication you are working on. Print Services will start a job ticket for your project once the following information has been determined:

  • Audience for the publication
  • Quantity
  • Copy or print job (can depend on quantity, time frame, and budget)
  • Color or black and white
  • Type of paper needed
  • Photos and/or art
  • Budget

Step 2: Publication text — in a Microsoft Word document format — will be sent to the Public Relations Office for editing only after it has been approved by those involved in the project. Only the most basic of formatting should be done to the Word document (important words and headings in bold), do not spend time designing the document. Public Relations will work with you to refine your message using grammar and style guidelines and can help to create text for your publications. They also have a digital camera and can take photos for projects if needed.

Step 3: After the text is finalized, Public Relations will send the document to Print Services for design and production. Print Services will work with you to create pieces that provide a consistent visual message for Fitchburg State College.

Step 4: A Print Services staff member will contact your office when a proof of the publication is ready. At that time, you may review the document, request changes or approve it.

Step 5: After the document is approved, it will be copied or printed.
