Amelia V. Gallucci-Cirio Library: Interlibrary Loan (ILL)

Interlibrary Loan is part of the Access Services Department.

Interlibrary Loan is a service provided to obtain materials which are needed for use by our students, faculty and staff, but are not available through the Gallucci-Cirio Library's collections. This is a library-to-library service; all requests for borrowing and renewing items from other libraries through the Interlibrary Loan Service must go through the Gallucci-Cirio Library's Interlibrary Loan staff. Our policies and procedures are based on the National Interlibrary Loan Code for the United States.

The Interlibrary Loan Desk is located at the Circulation Desk near the entrance of the Library. This is where you can pick up materials that you have ordered, drop off returns, and pick up and drop off ILL request forms. We receive and deliver articles through our Relais electronic delivery software whenever possible; depending on file size the PDF will either be emailed directly to you as an attachment or we will post it to a local server and email you with instruction for accessing and downloading the file. Online request forms are also available.

The Interlibrary Loan Office is located behind the Circulation Desk.

ILL Borrowing Policies

Fitchburg State students, faculty and staff with a valid One Card ID are allowed to borrow materials from other participating libraries at no charge as follows:.

Acceptable Request Formats

To request the actual item such as a book, Audio CD, Video, or a copy of a specific section of a book use any of the following forms:

  • Paper Item Request Form (located at Circulation Desk)
  • ILL Item Request Form
  • The "Borrow this item from another library" Interlibrary Loan link provided in the First Search databases.

To request articles, fiche, etc. to get either a photocopy of the item or the hard copy, use any of the following forms:

  • Paper Photocopy Request Form (located at the Circulation Desk)
  • ILL Article Photocopy Request Form
  • The "Borrow this item from another library" Interlibrary Loan link provided in the First Search databases.

Types of Materials

A wide range of material formats such as books, audio CDs, fiche, periodicals, copies of articles, etc. may be requested. If you request an item that is only available in an electronic format, please be aware that our ability to get a copy of the item is contingent upon the license agreement the owning library has with its database provider.

  • The material may be picked up at the Circulation Desk or mailed to you via campus mail. Distributed Learning students and faculty may have the material mailed to their homes via U.S. mail. Photocopies and electronic documents may be delivered electronically as well.
  • Materials should be returned to the Gallucci-Cirio Circulation Desk or mailed to our ILL Office.

Cost

There is no fee for Fitchburg State students, faculty and staff.


Length of Loan

Photocopies do not need to be returned unless the lending library indicates otherwise.

Length of loans for all other materials are subject to the lending library. Patrons are asked to return materials before the specified date on the slip.

Renewals may be requested once and they are dependent upon the lending library's policy and not Fitchburg State. If you wish to renew your ILL, please contact us prior to the date it is due. You may request a renewal by calling or emailing us; please be sure to include your name and library barcode/institution ID number and the title of the item you wish to renew.


Processing Time

Depending upon the nature of the request, it normally takes 10-14 working days from the submission of the request until the physical item is received. If the lending library uses Ariel (an electronic document delivery system), we may receive electronic photocopies within 0-3 days of submission of the request.

Note: The staff will contact 5 libraries whenever possible to try to borrow the item; if the request has to go to the 4th or 5th library in the queue it may take longer.


Number of Requests

Patrons may submit up to 5 requests at a time. Requests in excess of 5 will be filled as time permits. Plase use the comments field to indicate whether an item is higher or lower priority than another, otherwise we will process the requests on a first received, first processed basis.


Guidelines

  1. Verify that the Gallucci-Cirio Library does not own the materials you are requesting by checking our Library Catalog and Journal Locator. If we own the item, you must come into the library and check the item out through the Circulation Desk.

    Note: The only exceptions to this policy are students enrolled through a Distributed Learning program/course or an instructor teaching Distributed Learning courses. Please refer to Distributed Learning for information about how to request items from our collections.
  2. Patrons are asked to complete the form by filling in as much item information as possible.
  3. Return the material on time. If you need it longer, please contact us to request a renewal before the item is due. If items are not returned in a timely manner the libraries that lent them to us may refuse to lend to us in the future.
  4. By borrowing an item through ILL, you accept the responsibility for paying any late fines if you return the item late, lost fees if you fail to return the item, or any damaged fees if the item is not returned to us in the same condition as it was when you received it as assessed by the lending library.
  5. Items borrowed through ILL can not be placed on Course Reserves.
  6. We reserve the right to deny/revoke this auxilary privilege to any Fitchburg State member whose library account is or becomes delinquent with us and/or fails to follow these policies. In addition students will have a block placed on their student accounts for overdue, lost or damaged items.
